Maintenance, supplies and ordering in dental clinics

Nothing is more frustrating than an incomplete tray or a broken autoclave. Here is how a well-run clinic organizes its supplies and maintenance, and what that reveals.

Who manages supply orders in a dental clinic?

Often a designated assistant (purchasing lead) or the coordinator, with management’s approval. In a banner, purchasing is sometimes centralized to get better prices. It is a rewarding responsibility that gives an overview of the clinic.

How does a good inventory system work?

Minimum and maximum levels per product, labels or codes, weekly checks, grouped orders and stock rotation (expiry dates). Inventory software and online suppliers simplify everything. A clear system avoids shortages during care.

What happens if you run out during a treatment?

In an organized clinic, safety stock and a second equipped room allow you to continue. Repeated shortages are a sign of underfunding or disorganization; ask employees about it during your visit.

How is equipment maintenance planned?

With a calendar: maintenance of autoclaves, dental units, compressors, X-ray equipment, with service contracts and a log. An autoclave breakdown on a Monday morning without a backup plan stops the whole clinic. Ask how the last breakdown was handled.

Must staff maintain the equipment themselves?

Daily maintenance (cleaning water lines, handpieces, filters) is part of assistants’ tasks, with written procedures. Technical maintenance is the suppliers’ job. Time for daily maintenance must be planned into the schedule.

Do orders influence the quality of care?

Yes: quality materials, instruments in good condition and reliable suppliers show in every treatment. A clinic that skimps on materials or delays replacing worn instruments puts the stress on the team and the risk on patients.

Does a banner buy better than a single clinic?
